Whiteboards. Magnets. 2,500 Patients Daily. This Is What Patient Management Looked Like Before Emvigo.
Manual systems were introducing errors that healthcare professionals couldn’t afford to make. The brief was to fix that – completely.
Project Overview
2,500 Beds. 40 Million Daily Data Points. A System Still Running on Magnets.
A prominent UK-based healthcare organisation with an NHS background had been managing patient data the same way for years. They had large ward whiteboards, manual entries, and physical magnets denoting patient conditions. At the scale the NHS operates, that approach was generating errors that affected patient safety and staff decision-making.
Emvigo has been the client’s technology partner since 2015. The brief was to replace the entire manual system with a digital patient management platform. It should process real-time data across thousands of beds, integrate multiple EMR sources, and give clinical and operational staff the visibility they needed to act quickly and accurately.
The result was a platform monitoring 2,500+ beds daily, processing over 40 million data points in real time. This ended up earning two major industry recognitions for the client within years of deployment.

The Challenge
A Patient Safety Problem Built Into the System Itself
Ward whiteboards work until the scale of patient flow makes human error inevitable. At NHS volume, the manual system wasn’t just inefficient. It was a structural risk.
Customer Perspective
- Clinical staff had no reliable real-time view of patient status, bed availability, or departmental movement across the ward
- Incorrect data erasure and misplaced magnets were creating inaccuracies in patient records with direct consequences for care decisions
- Consultants and department heads were making resource and allocation decisions based on information that was already out of date by the time it was read
- There was no mechanism to track patient flow across departments within a single operational view
Business & Operational Problems
- Processing real-time data across 2,500+ beds simultaneously was considered technically near-impossible at the project's outset
- Integrating multiple EMR systems into a single dashboard environment required a data architecture capable of handling significant volume without latency
- The existing PHP-based framework introduced scalability constraints that would limit the platform's ability to expand across additional hospital sites
- Building over 65 custom dashboards across departments demanded a modular development approach with no tolerance for inconsistency
Building a healthcare data platform where accuracy, real-time performance, and clinical usability all have to coexist?
Emvigo has been engineering NHS-grade patient management infrastructure since 2015.
Product Strategy
Emvigo's Strategic Role: Replacing a Manual System Without Disrupting a Live Clinical Environment
Replacing patient management infrastructure in an active NHS environment meant zero tolerance for downtime, data loss, or clinical disruption during transition. Emvigo’s approach was phased and modular, replacing the manual system component by component while keeping clinical operations running throughout.
The early decision to treat real-time data processing as the core engineering constraint shaped every subsequent architectural choice. This lead to the eventual migration from PHP to Node.js and React. The integration of Elasticsearch to handle the data volume the platform was generating at scale.
Processing 40 million data points daily in a live clinical environment isn’t a performance target but a patient safety requirement. The engineering has to treat it that way.

01
Phased Replacement Without Clinical Disruption
Manual systems replaced incrementally across departments, ensuring clinical operations continued uninterrupted throughout the entire transition.
02
Real-Time as a Safety Standard
Data latency treated as a patient safety risk from day one, driving every infrastructure and architecture decision across the platform.
03
Modular Dashboard Architecture
65+ custom dashboards built on shared infrastructure with department-specific logic, enabling rapid deployment across new clinical areas without rebuilding core components.
04
Multi-EMR Integration
Data drawn from multiple EMR sources and unified into a single operational view, eliminating the fragmented visibility that manual systems had normalised.
05
Tech Stack Evolution for Scale
Migration from PHP to Node.js, React, and Elasticsearch, future-proofing the platform for expansion across additional hospital sites and growing data volumes.
Our Solution
65 Dashboards. 2,500 Beds. One Platform That Finally Gave Staffs the Full Picture.
Emvigo replaced a whiteboard-and-magnet patient management system with a fully integrated digital platform. This delivered real-time clinical visibility across every department, from A&E to maternity, in a live NHS environment.
Digital Ward Whiteboards
Configurable digital boards replaced manual whiteboards. They organize patient data into structured tabs. They include evacuation protocols. They also remove transcription errors common in the old physical system.
Bed Matrix and Waiting List Management
A real-time digital bed matrix giving staff instant visibility of occupancy and availability across 2,500+ beds, replacing guesswork with data-driven allocation decisions.
A&E Department Dashboard
A custom emergency department dashboard tracking patient intake, condition status, and onward department routing in real time, improving care allocation speed and accuracy under high-volume conditions.
Multi-Department Dashboard Suite
Purpose-built dashboards for Emergency, Patient Flow, Elective Care, Maternity, HealthTrack Locate, and the Open Data Platform, each drawing from integrated EMR sources into a unified operational view.
Real-Time Data Processing at NHS Scale
Elasticsearch integration enabled 40 million+ data points to be processed and surfaced daily, achieving real-time performance at a volume previously considered technically unachievable for this environment.
Scalable Platform Architecture
Migration from PHP to Node.js and React, delivering the scalability required for deployment across 2,000+ inpatient beds and ongoing expansion to additional hospital sites.

HTN Award 2019 for Best Use of Data
Recognised for the platform's approach to surfacing actionable clinical data at scale, confirming its position as a benchmark for healthcare data management in the UK.

HSJ Patient Safety Award 2016
The platform earned the HSJ Patient Safety Award for Technology and IT to Improve Patient Safety.

Expanded Across 2,000+ Inpatient Beds
The platform's scalable architecture enabled deployment beyond the initial site, operating across thousands of inpatient beds and managing patient flow for approximately 100,000 A&E visits annually.
